Job Description – Post of Secretary


Protecting Environment and Children Everywhere (PEaCE) is the pioneer organisation battling child sexual exploitation in Sri Lanka. PEaCE was launched as a campaign in 1991 as part of the International initiative, ECPAT ( to End Child Prostitution, Child Pornography and the Trafficking of Children for Sexual Purposes. From its inception PEaCE is dedicated to combat Commercial Sexual Exploitation of Children (CSEC) in Sri Lanka. It has been conducting country-wide awareness programs, advocacy, and community-based programs in the most vulnerable areas. It has been the only organisation in Sri Lanka working exclusively in the field of child sexual abuse and exploitation.

Position Summary

The Secretary is the first point of contact for the organisation and will provide administrative support across the organization. The Secretary provides both clerical and secretarial support to PEaCE. He/She will report to the Manager Finance and Admin of PEaCE and will work very closely with the CEO and other staff. The following are his/her responsibilities in detail:


Duties and Responsibilities

  • Answer and forward any incoming phone calls while providing basic information when needed
  • Respond to all telephone calls; answering or referring inquiries
    Attend to all correspondence on regular basis, get advice from the relevant staff prior to replying mail/emails, and copy all outgoing emails to the CEO
  • Upload information to the Social Media as required by the CEO
  • Distribute newsletter, leaflets and other information material electronically on a regular basis
  • Maintain confidential records and files electronically as well as hard copies
  • Assist the Manager Finance and Admin to carry out regular check of Asset Register
  • Ensure the staff sign the attendance register and maintain staff leave records
  • Perform clerical duties such as filing, photocopying, collating, faxing etc
  • Any other duties assigned by the line management


Qualifications & Experience

  • Preferably GCE (A/L)
  • Experience in secretarial, administrative, interpersonal and solid communication skills both written and verbal
  • A good command of written and spoken English and Sinhala/Tamil
  • Ability to work independently using his/her own initiative within the scope of responsibilities
  • Proficient with Microsoft Office, Email, Internet, Social Media, etc.
  • Ability to organise, multitask, prioritise and work under pressure
  • Ability to work easily with other cultures in difficult circumstances
